How to Split a Restaurant Bill by Item, Even When Friends Won't Install an App

dinner table receipt

Splitting a bill equally is fine until one person has the salad and another has three cocktails. Then somebody quietly overpays, or somebody spends ten minutes with a calculator while the food goes cold.

Splitting by item fixes that, and it's less work than it sounds. You scan the receipt once. Everyone else picks what they had.

What you need

The person who paid scans the receipt and needs Pro, because receipt scanning is a Pro feature. Everyone else needs nothing: a guest can pick their own lines from a link, with no account and nothing to install.

Scan it and assign the lines

  1. Open the group and tap Add expense.
  2. Tap Scan receipt, or Choose photo if you already took one.
  3. The app reads the total, the merchant, the date and each line.
  4. If the lines add up to the total, the split switches to By item. Tap the member chips under each line to share it with whoever had it.

Any subset of people can share a line. For a plate of starters shared by four, tap four names.

When someone had three of something

A line with several units shows as "3 x" the price. Tap Split into units to turn it into separate lines, or use the plus and minus counters beside each person to say "I had 3 of these". Nobody has to divide a round of drinks by hand.

Tax, tip and service

You don't assign these. They're spread in proportion to what each person's items cost, so the person who had the salad doesn't pay a share of someone else's cocktails.

What guests do

Send each person their invite link. It opens a plain web page, so they don't need the app.

On that page they can:

  • tick the lines they had, and their share of tax and tip follows what they picked
  • see a count like "2 others picked this", but never anyone's name
  • see only their own figure, and tap Pay if they owe
  • tap "I've paid", which tells you they've paid but doesn't change any balance until you confirm it

Anything nobody picks falls back to you, the person who paid, so the total always adds up.

When the receipt doesn't add up

Receipts get crumpled and photographed at an angle. If the lines and the extras don't add up to the total, the app doesn't guess. It keeps the split equal, fills in the amount, description and date, and tells you what's off, so you can correct what it read or carry on with an equal split.

Paying each other

The Pay button opens Venmo, Cash App or PayPal, and on Android it can open a UPI app. The payment happens in that app. SpendSmart AI never moves the money. When it arrives, whoever is owed confirms it, and the balance clears.

Limits worth knowing

  • Line prices are read-only. If the scan misread a price, redo the scan rather than editing the number.
  • A scanned receipt can't be split between two people who both paid.
  • A receipt can have up to 80 lines.
  • Joining the group, as opposed to picking from a link, takes a free account.

Frequently asked

Do my friends need the app to pick their items? No. The invite link opens a web page where they tick their lines. They only need an account if they want to join the group properly.

Is receipt scanning free? It's a Pro feature, and it's the person scanning who needs it. Guests picking their lines don't.

What if the tip was added by hand? Tip and service are read from the receipt and shared in proportion to what people picked. If the scan can't account for every line, you'll get an equal split and an explanation.

Does it work without a connection? Group data and receipt scanning both need one. Your personal expenses keep working offline.

If you want to try it on your next group dinner, SpendSmart AI is free to start. Scanning the receipt comes with Pro.
