How to Split Expenses When Half the Group Will Not Install Anything
The thing that kills group expense tracking is never the maths. It is the sign-up. You start a group for a flatshare or a trip, and now five other people have to download an app and make an account before anyone can log a single dinner. Two of them never do, and the group dies with three entries in it.
You can skip that. Here is how splitting works when only one person in the group needs an account.
Add people by name, not by invitation
In SpendSmart AI you create a group and add members by typing their names. That is enough to start. A member added by name is a real position in the ledger: they can pay for things, owe things and be settled with, exactly like someone with an account.
If they want in later, you send them an invite link and their name becomes their account, carrying the history with it. If they never do, nothing breaks. The group still balances.
What actually gets shared
This is worth being precise about, because "shared group" is vague and money is not.
A group expense is a shared record. Everyone in the group can see it, and any of them can edit or delete it, including the people you added by name once they join. That is deliberate: a ledger only one person can correct is a ledger everyone else has to trust blindly.
Your own transactions, budgets and goals are not part of it. Nothing outside a group is ever visible to its members.
How settling up works
Balances are computed from who paid and who owed, and every net in a healthy group sums to zero. When you settle, the app matches debtors against creditors and proposes the smallest set of transfers that clears everyone, rather than making six people pay each other in a ring. If money moved in a way that plan did not suggest, there is a Record a payment control beside Settle up, so a real payment never has to wait for the app to guess it.
One rule matters more than it sounds like it should: a claim is a claim, not a settlement. When someone with an account says they have paid you back, that is recorded as a claim, and it does not move any money in the ledger until you confirm it. Otherwise anyone could clear their own debt by tapping a button.
Members added by name are the honest exception, and it follows directly from the premise of this post. Somebody who never installed anything cannot confirm anything, so a claim against them would stay open forever and their balance would freeze. A payment involving a member added by name is recorded as settled by whichever member of the group was part of it, and the group owner can close a claim that is already stuck. Every settlement stores who recorded it, and the line says so, so one person acting is never shown as the other person agreeing.
The honest limitation
Groups need an account and they need a connection. This is the one part of SpendSmart AI that is not local-first, and pretending otherwise would be a lie about how your data is stored. A group lives in the cloud because it has to be readable by other people.
You can read a group offline from the last update we loaded, but adding an expense or settling up needs a connection. Your personal tracking is unaffected and still works entirely offline.
What it costs
Three shared groups on the free plan, and unlimited on Pro. Only creating a group counts. Groups you are invited to never count against your three, there is no cap on people or expenses inside a group, and if you are already over the limit you keep everything you have.
Splitting an itemized receipt
For the case where a split is not even, you can scan a receipt and assign individual lines to individual people, so the person who ordered the wine pays for the wine. The line totals have to reconcile against the receipt total before it will save, because a split that quietly loses eleven rupees is worse than one that refuses.
Receipt scanning is a Pro feature.
Bottom line
If the reason your last shared-expenses attempt collapsed was that half the group would not sign up, that is a solvable problem and it does not require everyone to install anything. SpendSmart AI is free to start, and three groups cost nothing.
Frequently asked
Does everyone need an account to be in a group? No. Only the person creating the group. Everyone else can be added by name and settled with normally, and they can claim their place later with an invite link if they want to.
Who confirms a payment? The person who received it, when they have an account. A member added by name has no way to confirm anything, so a payment involving them is recorded as settled by the member of the group who was part of it, and the group owner can close a claim that is already stuck. Either way the app stores and shows who recorded it.
Can I split a bill unevenly? Yes, by shares or by exact amounts, and you can assign individual lines from a scanned receipt to individual people. Receipt scanning is a Pro feature.
Do groups work offline? No, and this is the one part of the app that does not. You can read a group from its last loaded state, but adding or settling needs a connection. Your personal expenses still work fully offline.
How many groups can I have for free? Three that you create. Groups you are invited to do not count, and there is no limit on members or expenses inside a group.
