What the AI Actually Sees When You Type an Expense or Scan a Receipt
Security advice has caught up with AI. The usual line is to be careful about uploading financial documents to a chatbot, and it's good advice. So it's fair to ask what an expense tracker with AI in it actually sends, and when.
The answer depends on how you entered the expense. Here are all the paths.
Typing an expense
When you type something like "lunch 14", the app first checks your own saved corrections on your phone. If there's no match and you're signed in and online, it sends a short request to the AI model. If you're offline, or you've used your AI entries for the month, a set of rules on the device does the job instead.
What that request contains:
- the words you typed
- your list of categories
- your country and currency
- up to 20 common merchant names for your country, from a fixed list built into the app, not from your spending
- today's date
Your name, your email and your account identifiers aren't added to it. The category choices you've corrected before aren't sent either. Those are checked on your phone first.
Voice
Voice is different, and it's worth knowing. Speech recognition runs through your phone's own service, Apple's or Google's, which means the audio goes to them and not to us. The text it produces is then handled like anything you'd typed. Because recognition happens online, voice entry needs a connection.
Scanning a receipt
The photo is shrunk on your phone first, then sent to the AI model, which reads the total, the merchant, the date and the category. It's a Pro feature and it needs a connection.
Our privacy policy says that data sent to the AI provider isn't kept beyond the request and isn't used to train models. The provider is Anthropic, and the model is Claude.
One thing to plan around: don't count on the photo being kept with the expense afterwards. If you need the receipt for a return or an expense claim, keep the original. More on that in how to scan receipts to track expenses.
A screenshot or photo shared in from another app
An image you share into SpendSmart AI goes through the same receipt reading, so it's Pro and online. By default it's read and then discarded. A switch called "Keep the capture with this entry" lets you choose otherwise, and it's off unless you turn it on. That default exists because a screenshot can show more than the one expense.
Bank and card statements
This is the one to be careful with, so the paths are spelled out.
- OFX, QFX and CSV files are read on your device. Per our privacy policy they aren't sent to us or to the AI provider.
- A PDF statement, or a file the on-device readers can't handle, is sent to the AI to be read, and anything printed on it goes with it, including your name and account number. The free plan includes one of these a month, and the app asks you to confirm before it sends one.
If you'd rather nothing leaves the phone, use the OFX, QFX or CSV export from your bank. How that works is in importing a bank statement without linking your bank.
No AI at all
If you'd rather not use AI, typed entry still works on your phone using the rules, and it needs no connection. You can also turn off the AI features in Settings.
What none of this includes
SpendSmart AI never asks for your bank login, and nothing in the app connects to your accounts. There's no aggregator in the middle. Everything above is something you chose to type, say, photograph or import.
Frequently asked
Does the AI see my bank balance? No. The app has no connection to your bank, so there's no balance for it to see.
Is my typed expense kept by the AI provider? Our privacy policy says data sent to it isn't retained beyond the request and isn't used to train models.
Is voice private? The audio is handled by Apple's or Google's speech recognition on your phone's behalf, under their policies, and the resulting text is treated like typed text.
Can I use it with no AI? Yes. Typed entry falls back to on-device rules, and OFX, QFX and CSV imports are read on your phone.
You can see how it works in your own data. SpendSmart AI is free to start, with no bank login.
